Terms and Conditions of Business - Shorefield Equine Veterinary Practice Ltd

Shorefield Equine Veterinary Practice Ltd (We, Us, Our) is registered in England and Wales with registration number 10033905 and the registered office address is Moors Edge, Meldon, Okehampton, Devon, EX20 4LU.

This document sets out the terms of contract established between us and you, the registered animal owner or individual requesting veterinary services, which comes when you register your animal with our veterinary practice or when you ask us to provide veterinary services.

Estimates

All estimates given are only approximate and the final fee could be higher or lower depending on patient response and any complications during treatment. If we believe the cost could become significantly higher than the estimate we will endeavour to contact you as soon as possible. We can provide estimates verbally at the time of consultation or at the time of booking any appointments.

 

Fees

All our fees for services, medications and products are subject to VAT at the applicable rate (currently 20% for standard rated items). Invoices will detail a full breakdown of the fees.

Service fees include our professional fees in respect of veterinary services provided along with the cost of any drugs, materials or consumables used in the provision of the services. These professional fees can vary depending on the level of expertise required to look after your animal and the time spent on cases.

 

Payments

These terms apply in all cases.

Invoicing is done at our discretion. When invoices are sent, payment terms are strictly 14 days (in the absence of any other arrangement agreed with the practice or veterinary surgeon)

Please contact us as soon as possible to discuss if you become unable to pay your account according to the standard terms.

We can accept the following payment methods;

  • Cards; Visa, Mastercard or Maestro

  • BACS;

    • Account number 233357060

    • Sort code 30-96-26;

    • our bank details are also detailed at the bottom of invoices or by contacting us

  • Cash

  • Cheques; accepted at the discretion of us;

    • Payable to “Shorefield Equine Veterinary Practice Ltd”

Accounts not settled within our standard terms (in the absence of any other arrangement agreed with the practice or veterinary surgeon) will be subject to a late payment interest charge of 5% above the Bank of England base rate accruing from the date payment should have been received until final settlement.

If persistent non-payment occurs, we shall take such action as we consider appropriate to recover our fees which may include engaging third-party debt collection agencies to recover the outstanding fees and/or instigating proceedings against you in the county court.

In such cases, any costs levied by the debt collection agency will be added on to the outstanding balance owed by you and/or we will seek to recover any legal expenses from you. Please note that the use of debt collection agencies and the county court could affect your future credit rating.

While outstanding payments exist, we shall be entitled to suspend the provision of any services/goods until you have paid any outstanding sums in full. Where we consider it appropriate to do so we may require payment on account before goods and/or services are provided.

 

Insurance

We strongly support the principle of insuring animals against unexpected accident, illness or injury. Please contact your insurance provider as per their terms and conditions in the case of requiring their services.

Payment of the excess and any excluded amounts must be paid by you upon demand and, if a claim is refused by the insurers, you will remain liable for our fees. If an insurer fails to acknowledge our claim or respond to communications from us within 30 days, we will treat this as a refused claim and seek to recover the full cost from you. You may, of course, seek to recover the costs directly from your insurer should this occur.

 

Prescriptions

Private prescriptions are available from us upon request. Charges for these will only be applied when you request a prescription from us but go elsewhere to have the prescription filled (private prescription charge can be obtained from the practice upon request). Animals requiring private prescriptions are required to be examined/re-assessed periodically by the veterinary surgeon dealing with the case. Re-assessment/examination is charged for (details provided on request).

We kindly ask for 24 hours notice for written and repeat prescriptions.

 

Client records

Case records, x-rays, scans and similar documents are the property of, and will be retained by Shorefield Equine Practice Ltd. Even though a charge may be made for carrying out the investigations and interpreting the results, ownership of the resulting record(s) e.g. an x-ray or ultrasound scan remains the property of the practice. Upon request, copies of records with a summary of the history of your animal will be passed to another Veterinary Surgeon taking over your animal’s care and treatment.

 

Passports

All horses, ponies and donkeys must have passports, which should be available for the vet to check and we strongly recommend that passports should be signed by the owner to confirm that the animal is not going for human consumption.
 

Data protection

We recognise that client confidentiality is of utmost importance. We use personal data we collect in accordance with our privacy policy (view via this website) and comply with the provisions of the data protection Act 1998 and General Data Protection Regulations 2018. Our privacy policy also details your rights in respects to your personal data.

In instructing us to look after your animal, you authorise us to use that data during the work that we do for you; and will ask for your consent to, from time to time, send you veterinary information and reminders that would be relevant to you (you can opt out of these at any point by contacting the practice). 

 

We will, where specifically required, pass on to insurers, referral practices and laboratories, details of clinical histories, case records and diagnostic images relating to you and your animal.

You, the client, will provide us with correct and updated personal information.

Out of hours/emergency care

Outside of our normal trading hours, we offer a 24/7 emergency service 365 days a year. This emergency service can be accessed by dialing the emergency pager number then the duty vet will return your call (please make sure you leave us your name and contact number for us to return your call). There is an out of hours fee subject to calls for veterinary visits made through the emergency service. Our terms of business apply in full to all our out of hours calls.

The nature of veterinary work dictates that there may be delays if an emergency arises. We therefore reserve the right to re-arrange or postpone routine appointments at short notice.

 

Variation in terms of trading

No addition or variation of these conditions will bind the practice unless it is specifically agreed in writing and signed by a Practice Director. No agent or person employed by, or under contract with, the practice has the authority to alter or vary these conditions in any way.

We always welcome feedback on the services we provide. Feedback can be sent to the practice via the contact details at the bottom of this document.

 

Complaints

We strive to provide a quality service and animals with the best possible care but recognise on occasion you may feel that we don’t get it right. Please contact us at the first opportunity to discuss any grievances you may have. If you wish to make a complaint, please do so in writing to the practice director.

 

Statutory Rights

These terms and conditions do not affect your statutory rights.
